The Hub Coordinator plays a pivotal role in delivering exceptional physical and community experiences for our hub residents, visitors, and partners. You’ll be the face of our vibrant innovation community to make our hub welcoming, operationally excellent, and full of energy.

You’ll support daily operations, community rituals, and events while working closely with the Operations Manager, SA and the broader national team.

Key Responsibilities

Hub operations and facilities

  • Work with the Operations Manager to ensure exceptional physical experiences for our residents, clients, staff, and visitors.
  • Monitor and maintain the function and presentation of the hub through regular space checks and prompt reporting of maintenance issues.
  • Conduct inventory checks and ensure consumables, food, and supplies are consistently stocked.
  • Manage front-of-house duties including meeting room bookings, mail suite and locker setups, and greeting visitors.
  • Oversee digital signage and AV equipment, addressing tech issues and escalate as needed.

Community experience and member support

  • Deliver a warm, professional, and efficient experience for residents from onboarding to day-to-day support.
  • Respond to resident requests, queries, and feedback in a timely and solutions-focused manner.

Stakeholder and partnership management

  • Assist the Events team with onsite event coordination including setup, pack down, and logistics.
  • Support operational administration including reporting, ordering, and liaising with suppliers or contractors.
  • Contribute to the smooth delivery of hub rituals and support wider initiatives as needed.

Cross-functional collaboration and continuous improvement

  • Collaborate with the national operations team to support shared priorities and initiatives.
  • Identify opportunities for improvement and actively contribute ideas to enhance the workplace experience.
  • Demonstrate a flexible, hands-on attitude, ready to support other functions across the business when needed.

Required skills and experience

Essential

  • Previous experience in a customer-facing or administrative role
  • A strong customer service mindset with the ability to create welcoming and professional experiences.
  • Proactive, organised, and detail-oriented with the ability to juggle multiple priorities.
  • Comfortable with light tech troubleshooting (e.g., meeting room screens, printers, Wi-Fi
  • Clear and friendly communication skills – written and verbal.
  • Ability to work independently while also being a strong team player.

Desirable

  • Familiarity with coworking, innovation hubs, or startup environments.
  • Experience assisting with events or managing bookings and facilities.
  • Comfortable using tools like Slack, Google Workspace, or digital signage platforms.
  • Interest in innovation, technology, or supporting entrepreneurial communities.
